2. Personal data we process

What we collect directly from you through this site is limited to what you type into our forms. We do not build visitor profiles, we do not track how you browse, and we run no analytics or advertising tools on the site.

  • Identity: first name and surname.
  • Contact: email address and telephone number.
  • Customer transaction: the content of your enquiry together with the cargo and route details — the type of goods, the place of loading and the place of delivery, the required temperature range, the estimated loading date and similar transport details.
  • Data on carrier representatives: the trade name of the carrier filing the vehicle notification, the name, surname and contact details of the person making the notification, the body type of the vehicle, the lane and the date on which the vehicle is empty and, where applicable, the type of transport licence held.
  • Transaction security: IP address, browser and device information, and server access logs.

The last category arises from the technical operation of the site even if you never fill in a form: our hosting provider keeps standard access logs on its servers (IP address, time of request, browser information) for technical operation and security. Every font, stylesheet and script file the page needs is served from our own server, so no data reaches a third-party provider because of those files. We do not turn these records into visitor analytics; the details are in our Privacy Policy.

Our forms do not ask for a vehicle registration plate. We do not collect special categories of personal data (health, religion, biometric data and the like). Anything you write in the free-text fields is also processed within the scope of this notice, so please include only information relevant to your enquiry.

3. Purposes of processing

  • Receiving, assessing and pricing quote requests.
  • Carrying out our carriage work and our transport organiser work: planning, vehicle allocation, shipment monitoring and coordination of the document flow.
  • Assessing the vehicle notifications sent by carriers and managing our carrier network.
  • Contacting you and answering your questions, requests and complaints.
  • Meeting our obligations under Turkish law, including the retention of commercial records, invoices and transport documents.
  • Running the site and keeping it available and secure, which includes the standard access logs generated on our hosting provider’s servers and the loading of the files the page needs in order to be displayed.

4. Legal basis

We process your personal data on the following grounds set out in Article 5 of the Law:

  • Article 5(2)(c) — processing personal data of the parties to a contract is necessary, provided that it is directly related to the conclusion or performance of that contract. Quote requests, transport organisation and vehicle notifications fall under this ground.
  • Article 5(2)(ç) — processing is mandatory for the data controller to fulfil its legal obligations. The record-keeping and retention duties arising from Turkish tax and transport legislation fall under this ground.
  • Article 5(2)(f) — processing is necessary for our legitimate interests, provided that it does not harm your fundamental rights and freedoms. Keeping incoming requests on record in a traceable form, managing our carrier network and keeping server access logs for the technical operation and security of the site fall under this ground.

If we need to process your data on a ground other than these — for example if we wish to contact you about a matter unrelated to your enquiry — we will do so only with your explicit consent. The tick box in our forms confirms that you have read this notice; by itself it does not constitute explicit consent.

5. How we collect your data

We collect your personal data in electronic form and by partly automated means, through the quote and vehicle notification forms on this site and by email. What you tell us by telephone is taken during the call and stored electronically to the extent that we record it in order to carry out the work. We use no other collection channel on the site; the access logs described in section 2 are generated automatically as the site runs.

6. Transfer of personal data

We never sell, rent out or hand over your personal data to any third party for marketing purposes. Data is transferred only to the extent required to carry out the job and under the conditions set out in Article 8 of the Law.

Our technical service providers: we use a hosting provider to publish and run the site, and the server access logs described in section 2 are generated and kept on that provider’s servers. The provider accesses this data only to the extent necessary to provide and secure the service. Its servers may be located abroad; in that case the transfer is made on one of the grounds set out in Article 9 of the Law.

Within Türkiye

  • Customs brokers: customs formalities are carried out by customs brokers; Flowen coordinates the process and the document flow. The consignor, consignee and shipment details needed for the declaration are shared with the broker.
  • Drivers of contracted vehicles and carriers in our network: on jobs where we allocate a vehicle as transport organiser, the contact details needed to arrange loading and unloading.
  • Our accountant: for invoicing and for keeping statutory records.
  • Authorised public bodies: where a request or an obligation arises under the applicable legislation, limited to the scope requested.

Outside Türkiye

In international transport, only the contact and shipment details needed to carry out the carriage may be passed to the consignee in the country of destination, to the customs authority there and, where we work with one, to our partner on that route. Form submissions from the site reach us through a third-party form service whose servers may be located abroad. The font, stylesheet and script files the page needs are served from our own server, so merely opening a page does not in itself involve a transfer abroad. Any transfer abroad is made on one of the grounds set out in Article 9 of the Law. Once the server location of the form service we use and the ground relied on for that transfer (adequacy decision, appropriate safeguards or a derogation for a specific situation) are settled, this notice will state them.

7. Retention period

We keep your personal data for as long as the purpose of processing requires and for the retention periods laid down in the legislation. When the period ends, the data is erased, destroyed or anonymised.

8. Your rights as a data subject

Under Article 11 of the Law you may apply to us and exercise the following rights:

  • To learn whether your personal data is processed.
  • To request information if your personal data has been processed.
  • To learn the purpose of processing and whether the data is used in line with that purpose.
  • To know the third parties in Türkiye or abroad to whom your personal data has been transferred.
  • To request the correction of personal data that has been processed incompletely or inaccurately.
  • To request the erasure or destruction of personal data within the conditions set out in Article 7 of the Law.
  • To request that any correction, erasure or destruction be notified to the third parties to whom the data has been transferred.
  • To object to any adverse outcome produced by the analysis of your data solely through automated systems.
  • To claim compensation if you suffer loss because personal data has been processed unlawfully.

We do not assess incoming quote requests or vehicle notifications with automated systems; our team reads every request one by one.

9. Making an application

To exercise your rights, send your application in Turkish, in line with the Communiqué on the Procedures and Principles of Application to the Data Controller (Veri Sorumlusuna Başvuru Usul ve Esasları Hakkında Tebliğ, Official Gazette of 10.03.2018, no. 30356), by any of the following means:

  • By a written application bearing your wet signature, delivered in person or through a notary public to our company address above.
  • By email to info@flowenlogistics.com, signed with a secure electronic signature or a mobile signature, or sent from an email address that you have previously notified to us and that is registered in our systems.
  • From your registered electronic mail (KEP) address to our company’s KEP address, flowenuluslararasi@hs01.kep.tr.

Your application should give your name and surname, bear your signature if it is made in writing, and state your Turkish identity number (or, if you are a foreign national, your nationality and passport number), your address for service at home or at work, the subject of your request and, if you have them, the email address and telephone number to be used for notification. Please attach any documents you hold on the matter.

Depending on the nature of the request, we conclude your application as soon as possible and in any event within thirty days. We charge nothing if the process involves no further cost; where it does, the fee in the tariff set by the Personal Data Protection Board (Kişisel Verileri Koruma Kurulu) may apply.

If your application is rejected, if you find our answer insufficient or if we do not answer in time, you may lodge a complaint with the Personal Data Protection Board within thirty days of learning our answer and in any case within sixty days of the date of your application.
